This Privacy Policy explains what information of yours will be collected by ClassCover when you use the ClassCover Platform (the "Service") and its complete range of products.

We are committed to processing your data in accordance with the General Data Protection Regulation (GDPR) and other relevant legislation.

2. Information We Collect

User-Provided Information:

You provide ClassCover with information about yourself, such as your first name, last name, email address, phone number, postal address, date of birth (for age verification), and role type (for example, Worker/Teacher or Organisation/School representative) when you register for an account on the Platform.

You may also provide us with personal information in the content and materials you upload to the Platform, including resumes, qualifications, certifications, background-check documents, availability details, profile photographs, and responses to bookings or job opportunities.

When you communicate with us, we may retain records of your name, contact details, organisation name (where applicable), location, the content of your messages, and our responses. If you subscribe to paid services through the Platform, we will request payment details through authorised third-party payment gateways and process such information in accordance with applicable payment-security standards. ClassCover does not store full credit-card details on its own systems.

3. How We Use Your Information

ClassCover uses the personal information you provide to operate, maintain, and deliver the features and functionality of the ClassCover Platform, including facilitating bookings between Workers and Organisations, managing accounts and subscriptions, processing payments, verifying credentials, and providing customer support.

By providing ClassCover with your email address or contact details, you consent to our using those details to send you service-related notices, security alerts, administrative messages, and other communications required by law. We may also use your contact details to send newsletters, feature updates, promotional messages, or special offers in accordance with applicable marketing laws, and you may opt out of such communications at any time.

Following the termination or deactivation of your account, ClassCover may retain your profile information, uploaded content, and application data for a commercially reasonable period for backup, archival, audit, legal, or regulatory purposes.

ClassCover reserves the right, but is not obliged, to monitor, review, or remove content posted on the Platform where such content is believed to violate applicable law or our Terms of Service, or to protect the rights, property, or safety of ClassCover, other users, or third parties.

To help operate the Platform efficiently, ClassCover uses cookies, tracking technologies, and log-file information to remember user preferences, personalise content, monitor performance and usage trends, diagnose technical issues, maintain security, and improve access after sign-in, in accordance with our Cookie Policy and applicable law.

ClassCover may disclose personal information to cloud-hosting providers, contractors, payment processors, analytics partners, auditors, insurers, or other service providers located inside or outside Australia where this is necessary to provide services or comply with legal obligations. Where such disclosures involve overseas recipients, ClassCover will take reasonable steps to ensure that your information is handled in a manner consistent with applicable data-protection laws.

4. How We Share Your Information

ClassCover will not rent or sell your personally identifiable information to others. ClassCover may share your personal information with third parties solely for the purpose of operating and delivering the ClassCover Platform to you, such as processing payments, conducting background-check verifications where required, providing cloud-hosting services, enabling analytics, or supporting communications between Workers and Organisations. Where personal information is shared in this way, such third parties are required to protect your information and to use it only for authorised purposes.

ClassCover may store or process personal information in locations outside the direct control of ClassCover, including on servers operated by cloud-service providers or other technology partners.

Any content that you voluntarily disclose for posting to public areas of the Platform may be accessible to other users of the Platform. If you remove information that you have posted, copies may remain visible in cached or archived pages, subject to ClassCover's retention obligations.

Except as otherwise described in this Privacy Policy, ClassCover will not disclose personal information to third parties unless required to do so by law or court order, or where ClassCover reasonably believes that such action is necessary to: (a) comply with legal processes or regulatory requirements; (b) investigate, prevent, or take action regarding suspected or actual unlawful activity; (c) enforce our Terms of Service; (d) defend against legal claims; (e) assist government or regulatory authorities; or (f) protect the rights, property, or safety of ClassCover, its users, or others.

5. How We Protect Your Information

ClassCover implements commercially reasonable physical, administrative, and technical safeguards to protect your personal information. These measures are designed to prevent unauthorised access, disclosure, alteration, or destruction of your data. No system can be guaranteed to be completely secure.

• Access Controls: Access to personal data is restricted to authorised employees, contractors, and service providers who require it to perform their duties, governed by role-based permissions and confidentiality obligations.

While ClassCover uses security measures designed to protect your information, we cannot guarantee the absolute security of any data transmitted through the internet or the Platform. You acknowledge and accept that you provide information at your own risk.

7. Compromise of Personal Information

In the event that personal information is compromised as a result of a security breach, ClassCover will promptly notify affected individuals in accordance with the notification procedures set out in this Privacy Policy and as otherwise required by applicable law, including the Australian Notifiable Data Breaches scheme and, where applicable, the GDPR.

8. Your Data Subject Rights

As a data subject, you have certain rights regarding your personal information processed through the ClassCover Platform. These rights apply in accordance with applicable data-protection laws.

The responsibilities of the Data Protection Officer for the ClassCover Platform are overseen by the appropriate internal governance committee or designated privacy function.

Protecting the privacy of children and young people is very important to ClassCover. Our Platform is intended for individuals aged 18 years or older, and we do not knowingly collect or solicit personal information from minors or permit them to register for accounts.

ClassCover is not responsible for the privacy practices or content of websites or applications that are linked to or from the ClassCover Platform. When you use a link to move from the Platform to a third-party website, this Privacy Policy no longer applies. We encourage you to review the rules and policies of any third-party website before providing personal information.

14. Notification Procedures

It is ClassCover's policy to provide notifications to you — whether required by law, relating to security or service updates, or concerning marketing or other business matters — via email, in-app messages, SMS, written notices, or prominent postings within the ClassCover Platform. ClassCover reserves the right to decide the form and method by which such notifications are delivered, subject to applicable laws and your communication preferences.

15. Changes to This Policy

If ClassCover changes its privacy policies or procedures, we will post those changes on the ClassCover Platform or website so that you remain informed about what information we collect, how we use it, and under what circumstances we may disclose it. Any changes to this Privacy Policy will become effective when they are published.

17. Modifying Your Information

Users may request the correction or deletion of their personal information by submitting a request through ClassCover's Data Subject Rights Request Form. Once a request is received, ClassCover will validate the requester's identity and assess the request in accordance with applicable data-protection laws. Where approved, the relevant personal information will be corrected or deleted without undue delay and within legally required timeframes.

18. Opt-in / Opt-out

By choosing to opt in, you grant ClassCover permission to send you marketing communications, promotional materials, and service updates. If you choose to opt out, ClassCover will stop sending you marketing communications, subject to any legal requirements to continue sending essential service-related notices. Where available, you may also manage your communication preferences directly through your ClassCover account settings.

19. Data Retention and Disposal

ClassCover's data-retention and disposal practices strictly adhere to the terms and conditions set out in its internal policies, contractual commitments, and applicable laws. We apply a systematic and documented approach to the storage, review, and disposal of personal information, ensuring that all activities are carried out in line with established retention schedules and governance requirements.

Where permitted by law and subject to user preferences, ClassCover may retain certain customer or partner contact information for communications about its services. Such information will be deleted or restricted from use upon a valid request from the individual or organisation concerned, or where retention is no longer required for legal or operational purposes.
